Follow an outstanding agreement through signature

Keep an unsigned agreement connected to its current signer, correspondence and next action. Prepare contextual reminders, stop stale chases and verify completion before closing the log.

6 implementation stepsIntermediate

How this works

Track one issued agreement version until verified signing, owner pause or the reminder limit. Distinguish silence, substantive replies, partial signing and completion.

This process does not negotiate terms, determine enforceability or manage obligations after signing.

Before you start

Agreement owner

Identify the person responsible for the agreement and the approved source of signature status. Confirm whether all parties or only the external signer must complete the current milestone.

Chase policy

Use the organization’s timing, business hours, maximum attempts and escalation rule. A daily status check need not produce a daily message.

Prepare the inputs

Agreement identity
Required

Agreement ID, version, signature envelope or document reference, owner and issued date.

Confirm the issued version is still current and has not been withdrawn, replaced or rejected.

Current signing state
Required

Timestamped required-signer statuses and completion evidence from the approved system or owner.

An opened email, verbal promise or one signature is not evidence that every required party has completed.

Thread and prior reminders
Required

Relevant messages with timestamps, recipients and message IDs.

Read replies after the last reminder; preserve any request for changes or a later contact date.

Reminder settings
Required

Earliest next contact, time zone, maximum sends, pause rules and escalation destination.

Require a finite send limit and a named owner for unresolved cases; do not invent a deadline.

Implementation, step by step

  1. Open or resume the correct agreement chase

    • Match the agreement ID, issued version and signing envelope. Reuse the existing chase record instead of starting another sequence for the same version.
    • Record current required signers and the business milestone being pursued. Keep replaced agreements and drafts outside the active queue.

Checkpoint: One agreement, one chase record.

  2. Reconcile signatures and the latest conversation

    • Check signature status and messages received since the last review. Record the retrieval time and evidence for each status.
    • Pause reminders when a reply requests changes, another signer, a delay or a discussion. Route that issue to the owner rather than classifying it as silence.

Checkpoint: The next action reflects both the signing system and the latest reply.

  3. Choose a justified next contact

    • Apply the allowed cadence, recipient time zone, prior sends and any agreed pause. Separate a status check from permission to send.
    • If the limit is reached, propose escalation or closure for owner review. A missing response never authorizes a new recipient, new channel or stronger commercial promise.

Checkpoint: The decision is draft, wait, escalate, pause or verify completion, with a reason.

  4. Draft a contextual reminder

    • Use the existing thread, current agreement reference and one clear request. Address the actual obstacle if known; otherwise offer a practical clarification.
    • Include dates, start commitments or commercial terms only when the owner has confirmed them. Preserve the original scope and show the recipient, thread and supporting context beside the draft.

Checkpoint: Recipient, text and context are reviewable.

  5. Send only within authorization and retain a receipt

    • Immediately before an authorized send, refresh status and check for a new reply or a send by another operator. Suppress any stale or duplicate reminder.
    • Record the returned message ID and send time. Reconcile uncertain delivery before retrying to prevent duplicate emails.

Checkpoint: Approved, sent, uncertain and unsent remain distinct.

  6. Close or hand back the chase

    • Confirm completion using the required-signature evidence for this agreement version. Record who or which system confirmed it, then cancel remaining reminders.
    • For a paused or exhausted chase, return the unresolved issue and next owner action. Move post-signature work into its separate process rather than continuing this sequence.

Checkpoint: Active chases have next checks; closed chases have evidence.

Decisions along the way

Only some required signatures are complete

Continue only for the outstanding signer and preserve the partial state; do not mark the agreement complete.

A revised version is issued

Stop the earlier chase, retain its history and ask the owner which version and recipients are active.

The signer requests changes or a later date

Pause automated contact and hand the request to the agreement owner with the exact message reference.

Status access fails before a planned send

Keep the draft pending and mark status unknown; do not assume the agreement remains unsigned.

Check the result

  • Match all signing evidence and reminders to the same issued version.
  • Refresh replies and signing state before sending.
  • Ensure partial signing, document delivery and completed signing remain distinct.
  • Confirm no reminder remains scheduled after a stop condition.

When something goes wrong

A completion notice conflicts with the signing record

Pause contact and ask the owner to resolve the discrepancy; show both references.

A reminder may have been sent but no receipt returned

Search the correct outbox or thread and retain unknown status until reconciled.

A worked example

SYNTHETIC EXAMPLE · NOT A REPORTED BUSINESS RESULT

Request

Synthetic: review unsigned agreement A17 and prepare the next action.

Inputs

Two signatures are required. One is complete; the second signer replied yesterday asking for a revised schedule. Two of the permitted three reminders were sent.

Expected result

Keep A17 partially signed, pause the third reminder and give the owner the schedule-change request. Do not report completion or alter terms. After a revised version is issued, close the earlier chase as replaced.

Run a small pilot

Start small

Start with one owner and a few open agreements, including partial signing, a replacement and a late reply.

Record the baseline

Record missed replies, duplicate sends and manual status checks before the pilot.

Agree success criteria

Require correct stop decisions and no reminders to completed or replaced agreements; agree the useful response-time target locally.

Stop or revise

Pause sends if a version, signer or status cannot be reliably reconciled.

Keep the scope clear

  • Do not sign, amend terms, create pressure through invented deadlines or claim legal completion without the approved evidence.
  • Use only the agreement-related conversation and minimum recipient information needed for the chase.

Check before using

The agreement owner checks the signer, commercial statements and each outgoing reminder; the signature system or authorized owner confirms completion.

Business activities

  • Run sales conversations and proposals
  • Coordinate meetings and follow-ups
