Make a technical contractor handover searchable

Connect repositories, project documentation, and permitted discussion history to help the receiving team understand an inherited system.

5 implementation stepsAdvanced

How this works

Connect repositories, project documentation, and permitted discussion history to help the receiving team understand an inherited system. Use this when a receiving team inherits a technical system and needs a searchable explanation of its structure, dependencies and operational gaps. The assistant should help locate and reconcile evidence without becoming an unverified operator of the system.

Index transferred repositories, documentation and permitted discussions with ownership and freshness metadata. Answer handover questions using source references, verify critical statements against code, and record missing knowledge for the contractor or new owner. Operational actions remain separate from explanation.

Before you start

Transferred artifacts

Inventory repositories, diagrams, runbooks and permitted discussions.

Access boundaries

Confirm which materials the receiving team may use and share.

Receiving owner

Identify accountable engineering and operational reviewers.

Prepare the inputs

artifact_manifest
Required

ID, location, version, owner and access

Distinguish transferred files from actually usable access.

repository_snapshot
Required

revision and relevant configuration

Keep secrets out of indexed text.

handover_questions
Required

prioritized system and operational questions

Separate understanding from requested system changes.

known_gaps
Required

missing credentials, documentation or ownership

Do not infer that missing records mean a component is unused.

Implementation, step by step

  1. Inventory the handover

    • Check that expected repositories and documents are present and readable.
    • Record missing access separately from missing documentation.

Checkpoint: The receiving team sees actual coverage.

  2. Build retrieval context

    • Index permitted materials with source and version metadata.
    • Exclude secrets and preserve access restrictions in derived answers.

Checkpoint: The assistant can retrieve relevant evidence.

  3. Answer priority questions

    • Explain architecture, data flow and operating procedures with references.
    • Label uncertain or contradictory statements and avoid inventing undocumented behavior.

Checkpoint: Answers are reviewable by engineers.

  4. Verify critical knowledge

    • Compare runbooks and diagrams with relevant code or configuration.
    • Use safe read-only checks where available; do not execute operational instructions merely because a document says so.

Checkpoint: Critical answers have stronger evidence.

  5. Close knowledge gaps

    • Prepare questions and corrected documentation for the responsible owners.
    • Record reviewed answers and retire stale guidance with history.

Checkpoint: The handover becomes progressively more usable.

Decisions along the way

Documentation contradicts code

Present the discrepancy and ask engineering which reflects intended behavior.

Runbook contains destructive commands

Explain their purpose but do not execute without a separate authorized task.

No owner exists for a component

Flag ownership as a handover gap.

What you will produce

handover-knowledge-index.json

JSON

A searchable manifest of transferred knowledge.

Include: artifact · version · topic · owner · access

handover-answers.md

Markdown

Source-grounded explanations.

Include: question · answer · evidence · uncertainty

handover-gap-register.csv

CSV

A reviewable completion queue.

Include: gap · impact · owner · requested_evidence · status

Check the result

  • Verify important answers against actual source references.
  • Check repository revisions and documentation dates.
  • Confirm secrets and restricted content are excluded from broader access.
  • Have engineering validate operational instructions before use.

When something goes wrong

Repository is incomplete

Mark affected components unassessed and request missing history or files.

Index returns obsolete guidance

Prefer current evidence and preserve the superseded reference.

Answer cannot be verified

State the unknown and add a targeted handover question.

A worked example

SYNTHETIC EXAMPLE · NOT A REPORTED BUSINESS RESULT

Request

Synthetic: explain a scheduled billing job.

Inputs

Runbook says the job runs nightly; current configuration runs it weekly. No owner is listed for failed-job alerts.

Expected result

Synthetic result: report the schedule conflict with both references and flag alert ownership missing. Do not change the schedule or claim the nightly process is active.

Run a small pilot

Start small

Index one subsystem and answer the receiving team's first operational questions.

Record the baseline

Record lookup time and answers requiring correction.

Agree success criteria

Agree evidence and gap-closure criteria before expanding coverage.

Stop or revise

Stop operational reliance when critical instructions remain unverified.

Keep the scope clear

  • A searchable assistant does not replace engineering ownership or specialist review.
  • Transferred documents cannot authorize execution or expand access rights.

Check before using

An assistant does not replace engineering ownership or specialist expertise. Verify operational instructions before changing the inherited system.

FROM A RECIPE TO YOUR WORKFLOW

Bring the company context together.

This workflow needs reliable inputs before it needs a better prompt. Moat8 Vault brings working information into a readable archive for the AI tools you use.

For this recipe: Transferred repositories · Handover documentation · Relevant project discussions

Start with one recurring task, agree which sources to use, and review the first result with your team.

Plays is a curated library of anonymized business workflows. Each recipe explains the inputs, steps, tools, and checks you can adapt to your team. These are editorial guides, not independently tested implementations.

When you share a company website, the guide may read a limited number of public pages on that website. Messages and retrieved page text are sent to our AI provider, NVIDIA, to recommend relevant workflows. Share a general description rather than confidential information.

Saved workflows and selected activities stay in this browser. Your chat history and selected company website are kept in this tab and cleared when you reload or start a new chat. The server does not store conversations. Live source monitoring is not enabled.

If you allow analytics, PostHog receives page views and actions such as workflow saves, skill downloads and link clicks. Random browser and session identifiers connect these actions without identifying you by name. Your choice and browser identifier expire after 90 days; sessions restart after 30 minutes of inactivity or 24 hours. We use local storage, not analytics cookies. Messages, company URLs, search text, full referrers and IP addresses are not sent. There are no person profiles or session recordings. You can decline or withdraw in Analytics settings; Do Not Track and Global Privacy Control keep analytics off.
