Prepare replenishment recommendations from inventory position

Combine available stock, open orders and customer commitments before proposing replenishment.

6 implementation stepsIntermediate

How this works

Combine available stock, open orders and customer commitments before proposing replenishment.

Prepare replenishment recommendations from inventory position, not on-hand stock alone. Include customer commitments, valid inbound orders and lead-time assumptions so the proposal does not duplicate a purchase already on its way.

Before you start

Defined operating scope

Stock decisions depend on available inventory, existing purchase orders, and customer commitments together.

Required source material

Obtain Stock and backorders; Open purchase orders; Demand and lead times. If connectors are unavailable, use authorized files with the same fields.

Decision and exception rules

An inbound order is unconfirmed or overdue. Show a scenario with uncertain receipt rather than counting it as guaranteed available stock.

Prepare the inputs

stock_snapshot
Required

SKU, location and usable quantity

Separate damaged, reserved and available stock.

open_orders
Required

Purchase and customer commitments

Record confirmed quantities, dates and status.

demand_leadtime
Required

Demand estimate and replenishment lead time

Label assumptions and missing observations.

reorder_policy
Required

Reorder point, target and pack constraints

Use the approved SKU-location rule.

Implementation, step by step

  1. Establish the working record

    • Confirm the selected records, effective versions and responsible owner.
    • Check stock_snapshot, open_orders, demand_leadtime, reorder_policy before beginning. Record the source version and the selected scope; an unavailable value stays unknown rather than becoming an inferred fact.

Checkpoint: The input record identifies the selected stock_snapshot and any missing required fields.

  2. Reconcile inventory position

    • Reconcile usable on-hand stock, confirmed inbound quantities and committed demand for the same location and horizon.
    • Recompute inventory position and pack rounding deterministically.

Checkpoint: A saved intermediate result for: Reconcile inventory position.

  3. Compare it with the reviewed reorder policy

    • Compare inventory position with the approved policy, checking demand and lead-time assumptions.
    • Check SKU, location, horizon and open-order status match before combining quantities.

Checkpoint: A saved intermediate result for: Compare it with the reviewed reorder policy.

  4. Draft purchase recommendations and flag exceptions

    • Draft quantities that respect pack or minimum-order rules and flag missing data or uncertain deliveries for buyer review.
    • Recompute inventory position and pack rounding deterministically.

Checkpoint: A saved intermediate result for: Draft purchase recommendations and flag exceptions.

  5. Reconcile the proposed result

    • Recompute inventory position and pack rounding deterministically.
    • Check SKU, location, horizon and open-order status match before combining quantities.

Checkpoint: The listed discrepancies have a named reviewer or an explicit unresolved status.

  6. Package the result and unresolved work

    • Validate demand and lead-time assumptions; check existing orders before purchasing.
    • A buyer approves purchasing and handles supplier constraints.

Checkpoint: A replenishment queue for approval. Unresolved items remain visible in the review record.

Decisions along the way

An inbound order is unconfirmed or overdue.

Show a scenario with uncertain receipt rather than counting it as guaranteed available stock.

Demand history is missing.

Request a reviewed assumption and do not interpret missing demand as zero.

A recommendation duplicates an existing purchase.

Reconcile the open order before proposing another buy.

What you will produce

JSON

A replenishment queue for approval. Label proposed and completed states separately.

Include: sku · location · inventory_position · demand_assumptions · recommended_quantity · existing_orders · exceptions · status · evidence_reference · review_note

Markdown

Keep the evidence and unresolved decisions needed to apply this result, including exceptions involving reorder_policy.

Include: source_reference · question · owner · next_action

Check the result

  • Recompute inventory position and pack rounding deterministically.
  • Check SKU, location, horizon and open-order status match before combining quantities.
  • Inspect stock_snapshot and open_orders in both the original and output; confirm that record identity and interpretation survived the transformation.
  • Validate demand and lead-time assumptions; check existing orders before purchasing.

When something goes wrong

An inbound order is unconfirmed or overdue.

Show a scenario with uncertain receipt rather than counting it as guaranteed available stock. Retain the affected evidence and recovery status.

Demand history is missing.

Request a reviewed assumption and do not interpret missing demand as zero. Retain the affected evidence and recovery status.

A recommendation duplicates an existing purchase.

Reconcile the open order before proposing another buy. Retain the affected evidence and recovery status.

A worked example

SYNTHETIC EXAMPLE · NOT A REPORTED BUSINESS RESULT

Request

Prepare replenishment recommendations from inventory position for the following bounded example; prepare the result for review.

Inputs

Synthetic example: SKU S-4 has 30 usable units, 20 confirmed inbound and 40 committed to customers. Policy target is 50, reorder point 20, pack size 10.

Expected result

Synthetic expected result: Inventory position is 10. Proposed replenishment is 40 units to reach 50, subject to buyer review and inbound-date validation; no purchase is placed.

Run a small pilot

Start small

Trial a representative batch containing the ordinary case and the exception demonstrated above.

Record the baseline

Record current preparation time, review effort and correction types for the same records.

Agree success criteria

Agree acceptable review and error limits; measure approved recommendation accuracy; duplicate orders, stockouts, and excess stock during the pilot.

Stop or revise

A recommendation duplicates an existing purchase. Pause affected records and apply this recovery: Reconcile the open order before proposing another buy.

Keep the scope clear

  • A buyer approves purchasing and handles supplier constraints.
  • Do not promise availability or place orders from uncertain inventory or lead-time assumptions.

Check before using

Validate demand and lead-time assumptions; check existing orders before purchasing.

Business activities

  • Plan inventory and production
  • Manage finances and accounting
