Prototype a paid-placement booking workspace

Build a small booking workspace that connects advertising slots, placement requirements, deadlines and fulfillment evidence before replacing a publisher's manual register.

6 implementation stepsIntermediate

How this works

Build a small booking workspace that connects advertising slots, placement requirements, deadlines and fulfillment evidence before replacing a publisher's manual register. A slot reservation, an accepted placement and a published advertisement are different records and states. Keeping them separate prevents a calendar entry from being mistaken for payment, approval or completed delivery.

Start with one channel and a small local prototype or spreadsheet. Let the assistant translate the operating rules into fields, views and validation. Use historical or synthetic data first; add external publishing, payments or document automation only as separately scoped work after the core booking model is checked.

Before you start

Booking rules

Define slot duration, spacing, holds, expiry, cancellation and the role authorized to accept a booking.

Canonical records

Choose a source of truth for existing reservations and commercial status; preserve the original export.

Bounded prototype

Use available spreadsheet or development tools and keep the first version independent of live publishing accounts.

Prepare the inputs

channels_slots
Required

Table

Include channel ID, slot timezone, availability rules and any capacity constraint.

placement_records
Required

Rows

Require stable placement ID, advertiser reference, requested time, status and source.

Checklist

Include material deadline, disclosure responsibility, approved destination and required assets.

commercial_status
Required

Approved records

Keep amount, invoice, payment and cancellation status separate from delivery status.

Role matrix

Define who may view, reserve, confirm or edit records; avoid personal data beyond the pilot need.

Implementation, step by step

  1. Define the state model

    • Distinguish available slots, provisional holds, confirmed placements, cancelled placements and completed delivery.
    • Describe permitted transitions and expiry rules before generating an interface.

Checkpoint: A written model explains what each status means and who can change it.

  2. Normalize the register

    • Assign stable identifiers and convert dates to an explicit timezone.
    • Flag duplicate bookings, missing requirements and conflicting source records rather than merging them silently.

Checkpoint: The source-to-register mapping is traceable.

  3. Build the smallest usable view

    • Create a calendar, placement detail view and due-task queue with available tools.
    • Use a structured spreadsheet fallback if a coded prototype is not feasible.

Checkpoint: Users can inspect one placement from reservation through required preparation.

  4. Add deterministic controls

    • Check overlapping slots, minimum spacing, hold expiry and required fields with explicit rules.
    • Keep financial figures calculated mechanically and do not infer paid status from a note.

Checkpoint: Conflicts and missing information produce visible exceptions.

  5. Exercise lifecycle cases

    • Test clean booking, overlap, reschedule, cancellation, expired hold and missing-material cases.
    • Confirm that retrying an action does not create duplicate placements or delivery tasks.

Checkpoint: The prototype produces the expected states for the bounded test set.

  6. Reconcile and hand off

    • Replay a small historical period against the original register and inspect discrepancies.
    • Deliver source files, rules, test results and unresolved questions; label live integration as unperformed unless authorized and verified.

Checkpoint: The publisher can judge whether the prototype is ready for a limited operational pilot.

Decisions along the way

Two bookings claim the same exclusive slot

Hold both for owner resolution; do not silently move an advertiser.

Payment is recorded but creative is unapproved

Keep commercial progress and delivery readiness separate.

A placement is cancelled after tasks exist

Retain the audit trail and mark associated tasks cancelled through a documented transition.

What you will produce

placement-register.csv

Table

A stable booking and fulfillment record.

Include: placement_id · channel_id · slot · status · material_deadline · commercial_status · delivery_status

booking-prototype

Local app or spreadsheet

A bounded workspace whose behavior can be inspected and repeated.

Include: calendar · detail_view · task_queue · validation_rules · test_results

Check the result

  • Timezone changes do not shift booked slots unnoticed.
  • A hold does not count as a confirmed or paid placement.
  • Reschedules and retries preserve the same placement identity.
  • No test action publishes content, deletes posts or changes real commercial records.

When something goes wrong

The generated app loses state

Return to the retained register and fix persistence before adding features.

Scope grows faster than verification

Freeze integrations and keep only the booking and fulfillment path in the pilot.

Historical records disagree

Show the conflict and ask the booking owner to confirm the authoritative value.

A worked example

SYNTHETIC EXAMPLE · NOT A REPORTED BUSINESS RESULT

Request

Prototype booking for a channel allowing one paid placement per morning.

Inputs

Synthetic example. P1 reserves 09:00 on a given date; P2 requests the same slot. P1 is paid but its creative is missing. P3 is a hold that expires the previous day.

Expected result

Synthetic expected result. The calendar flags P1/P2 as conflicting requests, keeps P1 unready for delivery despite payment, and releases P3 only under the documented expiry rule. A task queue requests P1's creative. The prototype does not publish any advertisement.

Run a small pilot

Start small

One channel, ten historical placements and six lifecycle tests.

Record the baseline

Record existing conflicts, manual follow-ups and time spent reconciling the register.

Agree success criteria

Measure state accuracy, conflict detection and completeness of required preparation tasks.

Stop or revise

Stop live adoption if bookings can disappear, duplicate or change without a traceable reason.

Keep the scope clear

  • A custom prototype is not proof of scalable, secure or dependable production operation.
  • Do not expose advertiser records, collect payments or connect automatic posting without a separately authorized scope.

Check before using

The publisher verifies booking rules and commercial records. A working prototype does not establish production reliability or authorize publishing integrations.
