Create a welcome package for a new employee

A new hire’s form generates emails, team messages, and an IT request. This can be adapted for a growing company using office suite and team chat.

5 implementation stepsIntermediate

How this works

A new hire’s form generates emails, team messages, and an IT request. This can be adapted for a growing company using office suite and team chat. Use this when a confirmed hire needs consistent welcome materials and clearly scoped setup requests. The workflow coordinates preparation while keeping sensitive employee data and access provisioning under the established HR and IT processes.

Treat the approved hire record as the trigger, populate role-specific messages and document links, and prepare a separate IT request from an approved access bundle. Track each artifact independently so a failed notification does not imply onboarding or provisioning succeeded.

Before you start

Confirmed hire record

Use the approved start date, role, manager and contact details.

Onboarding templates

Obtain current welcome text, document versions and role-specific checklists.

Access bundles

Use IT-approved role packages rather than infer permissions from a title.

Prepare the inputs

hire_record
Required

employee ID, preferred name, role, manager and start date

Verify hire confirmation and date before drafting.

recipient_map
Required

employee, manager, team and IT destinations

Keep personal contact details out of team-wide messages.

document_pack
Required

approved links and audience permissions

Check that the new employee can access the intended documents.

access_request
Required

approved bundle and justified exceptions

Requests must not imply access has already been granted.

Implementation, step by step

  1. Validate the trigger

    • Confirm the hire record is approved and not a duplicate onboarding run.
    • Check manager, start date and contact completeness.

Checkpoint: A uniquely keyed onboarding record exists.

  2. Select the package

    • Choose the relevant role and location materials.
    • Verify document versions and flag missing access-bundle decisions.

Checkpoint: The package is appropriate for this hire.

  3. Draft communications

    • Prepare the employee welcome, manager checklist and team introduction separately.
    • Include only the information each audience needs.

    Checkpoint: Audience-specific drafts are ready.

  4. Prepare the IT request

    • Populate the approved bundle, start date and responsible approver.
    • List exceptions as questions rather than adding broad permissions.

Checkpoint: IT receives a clear request draft.

  5. Track authorized delivery

    • Send or submit only within the requested scope and capture individual receipts.
    • Keep draft, sent, accepted and provisioned statuses separate.

Checkpoint: The onboarding log shows the actual state of each step.

Decisions along the way

Start date changes

Update unsent artifacts and flag already submitted requests for owner review.

Access bundle missing

Prepare the welcome materials and hold only the IT request.

Employee prefers limited introduction

Use the approved preference and omit unnecessary personal details.

What you will produce

welcome-pack.md

Markdown

Separate drafts for the appropriate audiences.

Include: employee_message · manager_checklist · team_intro · document_links

onboarding-log.csv

CSV

A record distinguishing preparation, delivery and provisioning.

Include: hire_id · artifact · recipient · status · receipt · owner

Check the result

  • Verify start date, manager and recipients against the hire record.
  • Open document links using the intended access model.
  • Confirm requested permissions match an approved bundle.
  • Check repeated runs do not resend completed messages.

When something goes wrong

Email delivery fails

Retain the failed receipt and retry only the failed artifact after checking history.

Document link is inaccessible

Replace it with a permitted current link or flag the gap.

Hire is withdrawn

Stop pending actions and notify the responsible owner through an authorized channel.

A worked example

SYNTHETIC EXAMPLE · NOT A REPORTED BUSINESS RESULT

Request

Synthetic: prepare onboarding for hire H12.

Inputs

H12 starts 3 September in role R4; approved bundle B2 contains email and task-tracker access. The team introduction needs only name, role and start date.

Expected result

Synthetic result: create three audience-specific drafts and an IT request for B2. Do not include the employee's private phone in the team message or mark access as provisioned.

Run a small pilot

Start small

Use a small group of confirmed hires with HR and IT review.

Record the baseline

Record manual coordination time and recipient or document corrections.

Agree success criteria

Agree completeness and duplicate-prevention criteria before enabling routine delivery.

Stop or revise

Stop submissions if hire confirmation or access-bundle authority is missing.

Keep the scope clear

  • Welcome preparation does not authorize account creation or elevated permissions.
  • Employee personal information must be limited to the audience that needs it.

Check before using

Before enabling delivery, check recipients, document versions, and the wording of access requests.
